Privacy policy

This policy applies to gethivoo.com and hivoo.me.

Who we are

hivoo is a link in bio service for artists and labels, run by Echoes of Melodic Existence AB (organisation number 559530-5383), Sweden. We are the controller of the personal data described here. Contact: Patrik Totero, [email protected].

What we collect

• Your account: your name, email address and sign-in details, handled by our sign-in provider.
• Your pages: what you put on them: texts, links, images, audio previews, releases and events.
• Newsletter signups: email addresses that visitors enter on an artist’s page. The artist decides what to do with their list; we store and pass it on for them.
• Instagram, if you connect an account: the account’s ID, username and profile picture, and an access token (stored encrypted). When an automation runs, we process the comment or message that triggered it, the sender’s Instagram ID, and a log of what we sent, whether it was delivered and whether the link was tapped.
• Our launch list: if you leave your email on gethivoo.com, we keep it to tell you when hivoo opens, and we send you one thank-you email now. Nothing else. You can unsubscribe in any email we send.
• Technical data: the information a server needs to answer a request, such as IP address and browser type, in short-lived logs.

Why we use it

• To provide the service: your account, your pages, your automations and your newsletter signups.
• To send the emails the service needs: confirmations, a welcome email and account messages.
• To keep the service secure and working, and to fix errors.

We do not sell personal data, and we do not use it for advertising. Data we receive from Instagram is used only to run the automations you set up.

Who we share it with

We use these providers to run hivoo. They process data on our behalf:

• Clerk: sign-in and accounts.
• Vercel: hosting of the service.
• Neon: the database, in the EU.
• Cloudflare: network, file storage in the EU, and the sign-up form on gethivoo.com.
• statichost.eu: hosting of gethivoo.com.
• Inngest: background jobs.
• Resend: sending email.
• MailerLite: our launch list.
• Meta (Instagram): the connection you set up, and only for that.

Some of these providers are based outside the EU/EEA. Where data is transferred there, it is protected by the safeguards the GDPR requires, such as the EU Commission’s standard contractual clauses.

Cookies

We use cookies that keep you signed in to hivoo. gethivoo.com sets none. We do not use advertising or tracking cookies.

How long we keep it

We keep your data while your account exists. When you delete your account, or ask us to, we delete your pages, files and connected Instagram accounts. Disconnecting an Instagram account deletes its token, its automations and their log straight away. Backups and logs are cleared on a short schedule.

Your rights

You can ask for access to your data, to have it corrected or deleted, to restrict or object to its use, and to receive it in a portable format. Write to [email protected]. Changes

If this policy changes in a way that matters, we will update the date above and, where we can, tell you.
